Types of Notifications
ILLIXIS uses two notification channels:
In-App Notifications (Bell Icon)
The bell icon in the top navigation shows real-time alerts for:
- Task completions - When briefs, articles, trend analysis, or other background tasks finish
- Task failures - When a task encounters an error
- Approval requests - Content awaiting your review
- LinkedIn retargeting opportunities - High-traffic articles eligible for retargeting
- Journalist query matches - New media opportunities matching your brand profile
Email Notifications
Optional emails sent to your registered email address for:
- Task completions and failures
- Usage approaching monthly limits (80% threshold)
- Payment failures and subscription changes
- Journalist query alerts
- Team member joins
Notification Retention
ILLIXIS automatically manages notification storage to keep your inbox clean:

After these periods, notifications are automatically deleted. Important: if you need to reference a completed task, navigate directly to the relevant section (Briefs, Content Hub, etc.) rather than relying on notifications.
Using the Notification Bell
Viewing Notifications
- Click the bell icon in the top navigation bar
- A dropdown appears showing your most recent notifications
- Notifications are grouped by type:
- "Ready to View" - Completed tasks
- "Awaiting Your Approval" - Items needing action
- "Media Opportunities" - Journalist queries
Understanding the Badge
- A red badge with a number indicates unread notifications
- The number represents the total count across all notification types
- When no notifications exist, the badge disappears
Managing Individual Notifications
- Click a notification to navigate to the related item (this marks it as read)
- Click the X button on a notification to dismiss it immediately
- Dismissed notifications are permanently removed
Marking All as Read
- Open the notification dropdown by clicking the bell icon
- Click "Mark all read" in the dropdown header
- All notifications are marked as read (they remain visible until auto-cleanup)
Configuring Email Notification Preferences
Accessing Settings
- Click your profile icon in the top navigation
- Select "Account Settings"
- Scroll to the "Email Notifications" section
Available Email Preferences
Task Notifications:
- Task completed - Receive emails when long-running tasks finish (off by default)
- Task failed - Receive emails when tasks encounter errors (on by default, recommended)
- Journalist query matches - Alerts for new media opportunities (on by default)
Billing Notifications:
- Usage approaching limit - Warning when you reach 80% of monthly quota (on by default)
- Payment failed - Alert when subscription payment fails (on by default)
- Plan changes - Confirmation when subscription plan updates (on by default)
Changing Preferences
- Check or uncheck the boxes next to each notification type
- Click "Save Notification Settings"
- Changes take effect immediately
Notes on Email Defaults
- Task completed emails are OFF by default - Enable only if you want email alerts for every completed task
- All other emails are ON by default - These keep you informed of important events
- Transactional emails cannot be disabled - Password resets, email verification, and security alerts always send
Setting Your Timezone
Notification timestamps display in your configured timezone:
- Go to Account Settings
- Find the "Preferences" section
- Select your timezone from the dropdown
- Click "Save Preferences"
Best Practices
- Keep failure notifications enabled - These alert you to issues requiring attention
- Check the bell regularly - In-app notifications provide faster updates than email
- Act on approvals promptly - Approval notifications indicate items blocking your workflow
- Review journalist queries quickly - Media opportunities often have tight deadlines
Troubleshooting
Not seeing notifications?
- Ensure you're logged in to the correct account
- Check that the task actually completed (view the relevant section directly)
- For email notifications, check your spam folder
Too many email notifications?
- Disable "Task completed" emails in Account Settings
- Keep only critical notifications enabled (failures, billing, queries)
Notifications not clearing?
- Click "Mark all read" to bulk-clear the badge
- Dismiss individual items with the X button
- Wait for automatic cleanup (7 days for read, 30 days for unread)
